Cloud phone systems that keep your business reachable

Every call should find the right person, at the desk, at home or on the road. Visgenix brings telephony, Microsoft 365, CRM, contact center, automation and voice AI together. We replace ISDN and PBX systems, compare 3CX, Placetel, Webex and Teams Phone for your needs and, if you wish, keep the solution running afterwards. Your phone numbers can usually come with you.

  • A free 30-minute first call, no strings attached

A platform chosen for the way you work

The platform is chosen last, after your requirements are clear. What decides is your users, sites, hunt groups, contact center needs, your Microsoft 365 environment, integrations and the operating model you want.

3CX

A flexible phone system that you run on your own infrastructure or in the cloud. Suitable for many hunt groups, SIP trunks and custom routing rules.

Placetel

Cloud telephony that is quick to introduce, with a Teams connection and further integrations. Suitable if you want to make calls without a system of your own.

Microsoft Teams Phone

Makes sense if Teams is the central work surface and telephony should become part of it.

Webex

Larger collaboration and contact center requirements with several sites and departments.

Customer service and contact center

Queues and hunt groups

Calls are distributed by topic, time of day or caller. If someone does not pick up, the request moves on to the next group.

Ticket system connection

Requests are recorded, distributed and traced centrally. Calls can be assigned to a ticket or customer account.

Missed calls

Missed calls show up in a list or trigger a task. Nobody has to remember whom they meant to call back.

Reporting

Response times, waiting times and call volume become measurable. From that we derive staffing and opening hours.

Connected to the systems you already use

CRM

On an incoming call, staff see the matching record. Call notes and call logs end up in the CRM, as far as the platform supports it.

Helpdesk and ticket system

Calls create tickets or add to existing ones. The history stays in one place.

DATEV and industry software

Where interfaces exist, telephony is linked to client or customer master data. Whether that works with your software is checked beforehand.

Custom software and APIs

For custom applications we build interfaces through which call data and actions are exchanged with your systems.

Business telephony

Telephony, video and chat for your team

Communication planned for the office, home working and the road. Once it is live, we can keep looking after it for you.

Replace the phone system

Your old ISDN or PBX system makes way for a cloud phone system, a 3CX installation or telephony through Microsoft Teams. Existing phone numbers can usually be carried over or ported. Whether that works for your numbers and provider is clarified beforehand.

Video conferencing and room technology

Teams, Webex or Zoom, properly set up, with conference rooms equipped to match. Room booking and calendars are connected, so meetings start with one click.

Unified messaging

Telephony, chat, presence and meetings come together in one interface. Email, CRM and ticket system can be integrated, depending on the platform.

One number everywhere

Employees use the same number at the desk, at home and on the smartphone. New employees can be reached by phone from their first working day.

Reachability reporting

Call volume, waiting times and missed calls show when requests are left waiting. With that you can adjust hunt groups and staffing where it counts.

Consolidate costs

Maintenance contracts, lines, call charges, licenses and end devices, with current and future total costs side by side. Your decision rests on real numbers.

More than a phone system: automation with n8n

CRM automation

Contacts, call notes and follow-ups arise from the call without anyone reworking them.

Ticket automation

Calls and voicemails become tickets with caller, topic and priority.

Missed calls

A notification goes to the responsible person, with the number and customer reference.

Appointment scheduling

Callbacks and appointments go straight into the calendar of the person responsible.

Voice AI: voice agents on the phone system

AI phone assistant

A voice agent answers calls that are clearly bounded: opening hours, appointment requests, status questions, forwarding to the right person.

Handover to people

The agent hands over when the request is unclear or the caller wants that. The conversation history goes with it.

Transparency and data protection

Depending on the use case and the applicable requirements, callers may need to be told that they are speaking with an AI. This is not legal advice. We agree storage and transcription beforehand with your data protection requirements.

Staying reachable when something fails

Security

We use encrypted signaling and media transmission as far as platform and provider support it, and document the security configuration.

Retention and recording

We configure retention, call recording and archiving, where required, to fit your operational and legal requirements.

Alternative destinations

If a site or the system fails, calls are diverted to mobile numbers, other sites or an announcement. The rules are agreed beforehand.

Redundancy

A second internet line, provider failover and emergency routing are possible. We assess what your reachability needs.

Before go-live we create a documented emergency plan with call destinations, contacts and test results.

How we proceed

How the changeover runs

Ongoing operations are optional and a separate order.

1

Inventory

We record phone numbers, users, sites, end devices, hunt groups and existing contracts. Added to that are your Microsoft 365 environment and the systems that should connect to telephony.

2

Platform comparison

Suitable platforms are compared by total cost before one is recommended. The result is a target architecture with a number and emergency plan.

3

Changeover

The new system goes up in parallel to the old one. Hunt groups and emergency calls are tested. The number port is timed so that downtime stays short.

4

Operations (optional)

On request we look after telephony, user management and support in day-to-day operations.

What drives effort and duration

Users and sites

Number of workplaces, sites, hunt groups and end devices.

Phone numbers and contracts

Number blocks, providers and notice periods determine when porting can happen.

Integrations

CRM, ticket system, DATEV or custom software: every connection is its own effort.

Operating model

Your own system, cloud or Teams Phone change setup and running costs.
